Preparing an enquiry

A drawing is the start.
A clear brief makes it useful.

Give potential suppliers a consistent basis for understanding, pricing and planning the work.

Start with the current drawing

Supply the drawing number and revision, with any related specifications. Identify the features that are important to fit, function or subsequent assembly. If a drawing refers to a separate standard or customer specification, make clear which document applies.

A useful enquiry lets suppliers distinguish a firm requirement from something you are asking them to propose. Questions about missing information should be resolved before an order is agreed.

Describe the material and manufacturing requirements

Include material grade, condition and any required certification. State specified heat treatment, coating, surface finish or other manufacturing requirements. If you are open to an alternative, ask the supplier to identify it explicitly rather than assume equivalence.

Hongdu can coordinate technical clarification, but approval of a proposed design, material or process change remains with the responsible customer team.

Explain quantity and timing

Separate a sample or qualification batch from expected repeat demand. Give your target delivery date and say whether it refers to factory readiness or arrival at your site. This helps expose the time needed for tooling, material, processing, inspection and transport.

Make acceptance and delivery visible

Tell us which dimensions or properties need to be checked, which reports you require and who will approve the first article. Include packing requirements, destination and any handling constraints.

A quotation should identify what it includes. Tooling, testing, inspection, packaging and freight may otherwise be treated differently by different suppliers.

A practical first message

You can begin with a short description: the component, material, quantity, target timing and whether you need complete supply or a specific service. If drawings are confidential, discuss the sharing arrangements before sending them.
