Specify the inspection before the order
Agree the characteristics to be checked, the applicable drawing and specifications, the inspection method and the required records. Identify who provides measuring equipment, who performs specialist testing and who approves release.
Coverage and sampling should reflect the component, risk and customer requirements. A single sample count or acceptance level does not suit every industrial order.
Match expertise to the task
Quantity and packaging checks require a different scope from dimensional measurement, weld examination or material testing. Confirm the people and facilities needed for the agreed work.

Tie the records to the goods
Inspection findings should identify the relevant order, drawing revision and batch or component. Ask for the actual results where required, rather than only a general statement of conformity.
Material certificates and process records should be reviewed against the agreed traceability requirements. Document gaps or inconsistencies for resolution.
Define the response to a discrepancy
Record the finding and affected quantity, then agree the next step: correction, further examination or a customer-approved concession where permitted. Make release authority explicit.
The booking of freight should not quietly change the acceptance criteria. If a shipment is split or delayed, keep the product and logistics decisions aligned.
Include the final physical handover
Check agreed marking, packing and quantities against the intended shipment. Finished surfaces and sensitive features may need particular protection.
Warehouse receiving is a separate activity. It should not be treated as technical product acceptance unless that inspection has specifically been commissioned.
